Employee Submits Feedback

An employee visits the submission page through your company's unique link or the public Gathered Voices site. No login required. No account creation. No tracking.

They record audio feedback directly in their browser. This could be about anything: a process that's broken, a customer pain point they're seeing repeatedly, team dynamics, strategic concerns, whatever they feel leadership should know.

The recording is encrypted and sent to our servers where it's transcribed. No personal information is collected.

The critical part: The moment transcription completes, the audio file is permanently deleted from our servers. No archival. No backup. Gone.

The transcript is stored internally but never shown to anyone. It exists solely as input for theme analysis. Leaders never see transcripts or quotes.

Weekly AI Analysis

Every week, our AI analyzes all transcripts for your organization. It's looking for patterns, recurring issues, shared concerns, emerging opportunities.

The AI categorizes insights into four pillars:

  • People: Team dynamics, psychological safety, workload, recognition
  • Process: Documentation gaps, broken handoffs, tool friction, quality issues
  • Customer: Onboarding pain, support quality, pricing concerns, feature requests
  • Strategy: Market alignment, priority conflicts, competitive threats, growth opportunities

When the AI identifies a theme, it generates a label, intensity score, trend direction, and actionable synopsis.

Corroboration Threshold

A theme only surfaces in the admin dashboard when it's been corroborated by at least 2 separate submissions over the lifetime of your account.

This is a non-negotiable privacy safeguard. It means:

  • No individual voice can be identified or isolated
  • Themes represent genuine patterns, not one-off complaints
  • Leaders see signal, not noise

If only one person has mentioned something, it won't appear yet. Once a second submission corroborates it, the theme becomes visible.

Leaders See Actionable Themes

Company administrators log into the dashboard and see themes organized by category. Each theme shows you what's happening and how strong the signal is.

For example, you might see "Customer onboarding needs better documentation" with an intensity level showing how urgent it is, whether it's getting worse or better, and a clear summary of the issue.

What leaders never see:

  • Raw audio files
  • Transcripts or quotes
  • Numbers that could identify individuals in small teams
  • Any information that could reveal who said what

Just the patterns that matter, stripped of anything that could compromise anonymity.

Leaders Take Action

Armed with real, corroborated insights, leaders can now act:

  • Fix broken processes before they escalate
  • Address team dynamics proactively
  • Improve customer experience based on frontline feedback
  • Realign strategy when the organization spots threats or opportunities

The feedback loop is complete. Employees spoke safely. The organization heard them. Change happens. Trust grows.

And because the process runs weekly, leaders get regular updates on what matters most without waiting for annual surveys or quarterly reviews.

What Makes This Different

Not a Survey
Surveys ask predetermined questions. Gathered Voices lets people speak about what actually matters to them. You get insights you didn't know to ask about.
Not a Suggestion Box
Suggestion boxes collect ideas but rarely surface patterns. Our AI finds recurring themes across all submissions, showing you what's systemic versus one-off.
Not Anonymous Theater
Many "anonymous" tools still feel unsafe. We delete audio immediately and never show raw submissions. Anonymity is architected into the system itself.
Not a One-Time Exercise
Annual surveys are snapshots. Gathered Voices runs weekly, giving you regular updates on what's happening in your organization.

Frequently Asked Questions

For Employees

Can my feedback be traced back to me?
No. Audio files are deleted immediately after transcription. We don't collect IP addresses, device info, or any identifying metadata. Themes only appear after at least 2 people mention similar issues, making individual identification impossible.
What should I talk about in my submission?
Anything you think leadership should know. Broken processes, customer pain points, team dynamics, tools that don't work, strategic concerns, or opportunities you're seeing. If it matters to the organization, it belongs here.
How long should my recording be?
As long as it takes to explain your point clearly. Most submissions are 1-3 minutes. Say what needs to be said—no more, no less.

For Leaders

How do I encourage employees to submit feedback?
Share your company's unique submission link regularly. Emphasize that it's truly anonymous—no logins, no tracking. Show you're acting on themes you receive. When people see change happen, trust builds and submissions increase.
What if I receive negative feedback about myself or specific managers?
You'll see themes about leadership patterns, not individuals. The AI focuses on systemic issues like "unclear expectations" or "recognition gaps." This protects anonymity while surfacing actionable patterns you can address.
How quickly will I see themes after employees start submitting?
Themes surface once they've been corroborated by at least 2 submissions. Analysis runs weekly, so you'll typically see your first themes within 1-2 weeks of regular submissions. The more your team uses it, the richer the insights become.
